Privacy policy
How Kula Notes handles what trainees write, and what trainers and schools give us.
Effective October 28, 2026. This policy covers the Kula Notes app for iPhone and Android, the trainer web portal and kulanotes.com.
At a glance
- Every answer is private unless you choose otherwise, answer by answer.
- Your trainer sees only answers you mark Shared with your trainer. Anonymous answers reach them without your name.
- Private answers never go into the trainer’s brief or the cohort mirror.
- None of your answers or recordings leave your phone until you agree on a consent screen. You can withdraw consent in Settings.
- Voice recordings are deleted once they are turned into text.
- Anthropic’s Claude writes the brief, the mirror and your weekly reflection. It receives text only. Anthropic does not keep it or train on it.
- We don’t sell your data, show ads or use analytics or ad tools. Your answers are not used to train AI models.
- Export your answers or delete your account in Settings, any time.
- Kula Notes is for adults (18+).
Who we are
Kula Notes is made by Stoneglow Studio, LLC, a Michigan company. In this policy, “we” and “us” mean Stoneglow Studio, LLC.
Kula Notes is for yoga teacher-training cohorts. A school invites its trainees. Each day a trainee answers one question. Every Sunday the school’s trainers get a brief built from the answers trainees chose to share.
Questions about this policy: hello@kulanotes.com.
What we collect and why
If you are a trainee
- Your email address
- To sign you in. Your school gives it to us when it invites you. A school may use a phone number for the invite instead.
- Your name, if your account has one
- Shown to your trainer next to answers you share with them.
- Your answers
- What you write, or the text of what you say. Also the day, who you chose to share it with, and your readiness-to-teach rating (1 to 5) on days that ask for one. We use them to show them back to you and in the ways you choose for each answer.
- Voice recordings
- Uploaded only after you give consent. Kept only until they are turned into text, then deleted. The copy on your phone is deleted once the upload succeeds. If transcription keeps failing, the recording is deleted anyway and you can record again or type.
- Your age and consent record
- The time you confirmed you are 18 or older, and the times you gave or withdrew consent. Your date of birth is checked on your phone and never saved or sent.
- Settings
- Your time zone, your daily reminder time (saved only after you give consent), and whether your weekly reflection may use your private answers.
- What Kula Notes writes for you
- Your weekly reflection. It is stored so you can read it, and only you can.
- Reports
- When you tap Report this on a cohort mirror line, we store which line and any reason you give, so we can review it.
If you are a trainer or run a school
- Account and school details
- Your email address, your school’s name, its trainers, its cohorts and their questions.
- Invites
- The email address or phone number you enter for each trainee.
- Your use of the brief
- Which suggestions you mark useful or not useful, and anything you report. We use these to improve the next brief.
- Payment
- Schools pay on the web through Stripe, which handles card details. Trainees never pay, and the app sells nothing.
What stays on your phone
- Drafts. They stay on your phone until you save.
- The crisis check (see The crisis card).
- Your reminder. It is set on your phone. We don’t use push notifications.
What we don’t collect
Your date of birth, location, contacts, photos, browsing history, device or advertising IDs, or usage analytics. The app and the trainer portal contain no analytics, advertising or crash-reporting tools.
Kula Notes never asks for health or medical information. Answers are free text, though, so we treat everything you write as sensitive.
Who sees what
You choose for each answer. Private is the default. These are the three choices, as the app shows them:
- Private
- Only you.
- Shared with your trainer
- They see it in Sunday’s brief with your name. It also counts, unnamed, toward the cohort mirror.
- Shared anonymously
- Your trainer can read it, never with your name. The cohort mirror only counts and paraphrases it.
You
All your answers, your weekly reflections, your progress and the cohort mirror.
Your trainer
“Your trainer” means the trainers your school has added to Kula Notes. They see:
- Answers you marked Shared with your trainer, with your name, the day and any readiness rating, in the portal and in the Sunday brief.
- Answers you marked Shared anonymously, in full but without your name, date or readiness rating, and only in weeks when at least three trainees shared anonymously. The brief may count them, paraphrase them or quote a line, always labelled “anonymous”. They never lead to a check-in.
- The Sunday brief: the week’s themes, ideas for the coming week, and sometimes a suggested check-in. A check-in names only a trainee who shared with the trainer that week. Themes are left out when fewer than three trainees shared, and the brief says so.
- Cohort totals: how many trainees are enrolled, how many answered on four or more days, how many answers there were and how many trainees shared. These totals count that you answered on a day, whatever its visibility. They never include what you wrote, and never a number for you alone.
Your trainer never sees a private answer, your weekly reflection, or audio of any kind.
Your cohort
Trainees never see each other’s answers. After each week, the cohort sees the cohort mirror: up to four short lines, each a count and a paraphrase of a topic at least three trainees raised. No names and no quotes.
Nobody else
We don’t sell your data or share it for advertising. Beyond the service providers below, we share it only if the law requires it. We look at answer content only when we need to: to fix a problem, to review a report, or to act on your request.
How Claude is used
Kula Notes uses Claude, made by Anthropic, to write three things. Nothing in Kula Notes replies to you or chats with you.
- The Sunday brief, for trainers
- Built from shared answers only. Answers shared with the trainer go in with your name. Anonymous answers go in without it. Private answers are never sent for the brief.
- The cohort mirror, for the cohort
- Built from the brief’s themes, with every trainee’s name replaced before Claude sees them.
- Your weekly reflection, for you alone
- Built from your shared answers. Your private answers are used only if you turn on Include my private answers in my weekly reflection in Settings. It is off unless you turn it on.
Anthropic receives text only, never audio. Under our agreement it does not keep the data or train its models on it. Neither do we.
Service providers
These companies run parts of Kula Notes for us. They process data only to provide their service to us.
- Supabase
- Our database, sign-in and file storage for recordings waiting to be transcribed. Hosted in the US (Oregon).
- Fly.io
- Runs our background worker in the US. It transcribes recordings, writes briefs, mirrors and reflections, and handles deletions.
- Anthropic (Claude)
- Writes the brief, the mirror and weekly reflections. Receives text only. Zero data retention, and no training on your data.
- Deepgram
- Turns voice recordings into text. Receives the recording only. We delete the recording once it is transcribed, and Deepgram does not keep it.
- Resend
- Sends our emails, such as the Sunday brief to trainers.
- Cloudflare
- Serves this website and runs our domain’s DNS. Like any web host, it handles standard request data such as IP addresses. The website sets no cookies and runs no trackers. The trainer portal uses one cookie, only to keep trainers signed in.
- Stripe
- Handles school payments. Never involved for trainees.
Consent
Before your first answer, the app shows a screen titled Before your first answer. It names who can be involved and how. The checkbox starts unchecked, and Continue stays off until you tick it.
Before you agree, the app sends only what it needs to sign you in and join your training. No answer, recording or transcript is uploaded. You can still type; your draft stays on your phone.
Withdrawing consent
Go to Settings › Withdraw consent, in the Privacy section. Then:
- Nothing new is sent from your phone, and Today becomes read-only.
- Your answers are left out of later briefs and mirrors, and no new weekly reflection is written for you.
- Answers you already shared stay visible to your trainer until you make them private or delete your account. Briefs already written don’t change.
You can give consent again from the same place, with Give consent again.
Using private answers in your weekly reflection is a separate choice. Turn it off in Settings at any time.
The crisis card
After you save an answer, your phone checks it against a short list of phrases. If one matches, the app gently asks whether you’d like support and shows crisis lines. This check runs on your phone only. Nothing about it is sent or stored, and your trainer is never told.
When your weekly reflection is written, the same list is checked against the answers it would use. A matching answer is left out of the reflection, and the reflection shows crisis lines instead.
Kula Notes and your trainer aren’t a crisis service. If you’re in crisis, call or text 988 (US) or visit findahelpline.com.
Keeping and deleting data
- Answers, reflections and your profile are kept while your account exists, so you can come back to them.
- Voice recordings are kept only until they are transcribed, usually minutes.
- Briefs and mirrors are kept while the school’s account exists.
Deleting your account
Go to Settings › Delete my account. Your answers, reflections, profile and place in your training are deleted straight away. Briefs and mirrors that used your answers are rebuilt without them, usually within minutes and always within 30 days. Then your sign-in account is removed.
Brief emails already sent to trainers can’t be recalled. Full details, and how to ask without the app, are on Delete your account.
Deleted data may remain in our database provider’s backups for up to 30 days until they are overwritten. We don’t restore deleted accounts from backups.
Exporting your answers
Go to Settings › Export my answers. One tap opens your phone’s share sheet with all your answers as plain text: week by week, each question, the date, who it was shared with, your readiness rating and your answer, then your weekly reflections.
Adults only
Kula Notes is for people 18 and older. Before consent, the app asks for your date of birth and for you to confirm you are 18 or older. The date is checked on your phone and not saved. If you are under 18, the app stops there and saves nothing.
If you believe someone under 18 is using Kula Notes, email hello@kulanotes.com and we will delete the account.
US state privacy rights
Depending on where you live, state law (such as California’s CCPA/CPRA) may give you these rights. We offer them to everyone.
- Know and access what we hold about you. Most of it is in your export.
- Delete it. Use the app or email us.
- Correct it. You can edit an answer while its week is open; for anything else, email us.
- Not be treated differently for using these rights.
What you write may count as sensitive personal information. We use it only to provide Kula Notes to you, as described here. We don’t sell personal information, and we don’t share it for cross-context behavioral advertising.
To make a request, email hello@kulanotes.com from the address on your account. We may need to confirm it is you. An authorized agent can ask for you with your signed permission. We answer within 45 days.
Consumer health data (Washington)
This section is our consumer health data privacy policy under Washington’s My Health My Data Act. It also applies to similar laws in other states.
Kula Notes doesn’t ask about health. But you write freely, and an answer could mention your body, your energy or how you are doing. The law may treat that as consumer health data, so we treat every answer as if it were.

Security
- Data travels between the app, our servers and our providers over encrypted connections (TLS).
- Database rules enforce who can read each answer. A trainer cannot reach a private answer by any path, and cannot link an anonymous answer back to you. Automated tests check these rules.
- No app or browser can read or list stored recordings, not even yours. Only our worker can, to transcribe them.
- Our server keys stay on our worker, never in the app or the portal.
- Our logs record counts and status, not what you wrote.
No system is perfectly secure. If a breach affects your data, we will tell you as the law requires.
Changes
We will update this page when our practices change, and change the effective date at the top. If a change affects who sees your answers or who processes them, we will email you before it takes effect.
